Work Christmas Party Invitation Wording: Templates for the Office, Clients and the Team

Work Christmas party invitation wording is harder than it looks. The details are simple enough, but the tone has to land somewhere between "the board requests your company" and "drinks Friday, don't be late", and that somewhere is different for every workplace. Get it right and the RSVPs come back without chasing. Get it wrong and half the office assumes it is optional.
Here is the structure every invitation needs, wording you can lift for formal, relaxed, funny and themed parties, the client version, the lines for a corporate Christmas card, and the Australian timing that stops your party landing on the same night as everyone else's.
What every work Christmas party invitation needs
- Who is hosting — the company, a team, or the social club. Put the name on the card, not just the logo.
- What it is — end-of-year party, Christmas lunch, awards night. Say which, because the dress and the expectations follow from it.
- When — day, date and start time. Give a finish time if the venue has one; people plan babysitters around it.
- Where — venue name and suburb. Add a line about parking or the nearest station if it is not obvious.
- Who is invited — staff only, staff and partners, or families. Silence here generates more emails than any other line.
- What is covered — food and drinks on the company, a bar tab until a set time, or bring your own. Guests want to know before they arrive.
- RSVP — a name, a date and a way to reply. Ask for dietary needs in the same breath.
- Dress code or theme — smart casual, cocktail, Christmas colours, or nothing at all. If there is a Kris Kringle, put the spend limit here too.
Everything else, from the running order to the taxi voucher, belongs in a follow-up email or an enclosure card. The invitation itself should be readable in ten seconds.
Formal wording for a company-hosted event
Formal suits a seated dinner, an awards night or anything with clients in the room. Write in the third person, name the company as host, and spell the date out in full.
The directors of Harbour & Lane

Friday the fourth of December
from seven o'clock in the evening
The Botanic Room, South Brisbane
Cocktail attire

Kellerman Partners

to celebrate the close of another year
Saturday 5 December, 6.30pm
Rooftop Terrace, Crown Towers, Perth
Dinner and drinks provided
Please reply by 20 November with any dietary requirements
The second version drops the spelled-out numerals and still reads as formal. Choose one style and keep to it. Mixing "the fourth of December" with "6.30pm" on the same card looks like two people wrote it.
Relaxed wording for the team
Most Australian workplaces sit here. First names, contractions, and a tone that sounds like the person who actually organised it.
The year is nearly done and it deserves a proper send-off.

Disco Santa Christmas Party Invitation
Gold Bauble Christmas Invitations
A Touch of Blue Christmas Party Invitations
Funny wording that still gets an RSVP
A joke works if it is one line and the details underneath are dead straight. Two jokes and nobody can find the date.
The spreadsheets can wait. The bar tab cannot.

Keep the humour about the party, not about individuals. What is funny in one team is a complaint in another.
Wording for a themed party
An Australian Christmas party is as likely to be by the pool as under fairy lights, and the invitation should say so. (If the theme is a costume one, the costume line in our Halloween party invitation wording guide works for a Christmas party too.) Lead with the theme, then the details.
Christmas by the pool
Bring your togs, your towel and your appetite. The Kirra Surf Co end-of-year barbecue.
Sunday 6 December from 2pm, Burleigh Heads pavilion
Kris Kringle Christmas lunch
One gift, $25 limit, wrapped and anonymous. The rest is on us.

Inviting clients and partners
A client invitation is a business letter with a party at the end of it. Thank them first, invite them second, and give them an easy way to decline without it being awkward.

Reply by 23 November. Partners are very welcome.
Client invitations are the ones to print rather than email. They sit on a desk for a fortnight and do a small amount of marketing every day they are there. If you are sending more than a handful, the corporate event invitations range is built for exactly this, and we can print each guest's name on their card from a list you upload, so nothing needs handwriting.
The extras: plus-ones, cost, dietary and Kris Kringle
These are the lines that get left off and then cause a week of replies. Wording that settles each one in a sentence:
- Partners: "Partners are welcome" or "This one is just for the team". Say which; do not leave it to be inferred.
- Cost: "Food and drinks are provided" or "Dinner is on us, drinks are at bar prices after 8pm". A bar tab with a cut-off is not rude, an unannounced one is.
- Dietary: "Please let us know any dietary requirements when you RSVP". Put it with the RSVP so it comes back in the same message.
- Kris Kringle or Secret Santa: the spend limit, whether it is anonymous, and whether to bring it wrapped. "$20 limit, wrapped, no names" is enough.
- Getting home: "Cabcharge vouchers available on the night" earns more goodwill than it costs.
- Children: "Adults only" is fine to say. "Family friendly, kids' meals available" is even better if it is true.
Corporate Christmas card messages
If the party is for the team, the card is for the clients. A corporate Christmas card is a small thing that gets noticed because so few businesses still send one. Keep the message to three lines, name the year, and sign it from real people rather than "the team at".
Thank you for working with us in 2026. From everyone at Harbour & Lane, we wish you a relaxing Christmas and a bright start to the new year.
Wishing you and your family a very merry Christmas. We are grateful for your support this year and look forward to what we will build together in 2027.
Priya, Tom and the Kellerman Partners team
Merry Christmas from all of us at Greenline. Thank you for a great year. Our office closes on 23 December and reopens on 6 January.
That last line is worth copying. A card that tells clients your closure dates gets kept, which is the whole point. Corporate Christmas cards can carry your logo and a printed message, and you can leave the inside blank if you would rather sign each one by hand. For staff, a printed card with each person's name on it, sent to their home, lands differently to an email. It is the same guest name printing we do for wedding invitations, and it costs less than a coffee per card.
When to send work Christmas party invitations in Australia
The Australian calendar is unforgiving in December. Schools finish in the second and third weeks, people take leave from the twentieth, and every venue with a view is booked by October. A timeline that works:
- September or early October: book the venue. The Friday nights in the first fortnight of December go first.
- Early November: send the invitations, four to five weeks out. Any later and the diaries are already full of other parties.
- Two weeks before: RSVP deadline. Chase the stragglers by phone rather than another email.
- One week before: final numbers to the venue, dietary list sent, Kris Kringle reminder if there is one.
Client events sit a week earlier again, in late November, because clients have their own parties in December. Printed invitations need about a week from ordering to arriving, so if you are sending them by post, have the wording settled by mid-October.
Printed, emailed or both?
Email is fine for a team of twelve who sit together. It is not fine for clients, for a staff of two hundred, or for anything you want treated as an event rather than a calendar entry. A printed invitation gets pinned up, taken home and mentioned.
The practical version is both. Send the printed card, then a calendar invite once the RSVPs are in. When you order from us, every card can be printed with the guest's name from a list you upload, the envelopes can be addressed the same way, and your logo goes on the design once and stays there for every reprint. The card is easy to edit online, so the wording above can go straight in.
If your marketing team has already designed something in Canva, the Print My Design service prints your artwork on the same thick cardstock without redesigning it.
Common questions
How far in advance should a work Christmas party invitation go out?
Four to five weeks. In Australia that means early November for a December party, and late October for a client event in late November.
Do we have to invite partners?
No, but you have to say. "Partners welcome" or "just the team" on the invitation saves a week of one-to-one questions.
How do we word it if the company is paying for some drinks but not all?
Name the arrangement plainly: "Drinks are on us until 8pm, then at bar prices". Guests are fine with a limit. They are not fine with a surprise.
Can we put the company logo on the invitation?
Yes. Upload it once in the editor and it prints on every card. It works on corporate Christmas cards the same way.
What is the difference between a Christmas party invitation and a corporate Christmas card?
The invitation asks someone to come to an event and needs a date, a venue and an RSVP. The card is a greeting with no event attached, usually sent to clients and suppliers as a thank you for the year.
Should the invitation say "Christmas party" or "end of year party"?
Either is fine. "End of year" is the safer choice for a mixed workplace or a client list, and it also covers a party held in late November. Use "Christmas" when the party is clearly about Christmas, with the tree, the Kris Kringle and the carols.
Where to start
Pick the wording closest to your workplace from the templates above, swap in your details, and put it into a design from the Christmas invitations and cards range. For a client event, start with the corporate event invitations. If you would rather send a greeting than host a party, the corporate logo Christmas cards take a message and a logo and are printed and posted within days. And if you are also sending a family card this year, our guide to Christmas invitations for home covers the personal version.
